QR codes in product manuals

Printed manuals are written once and read under pressure: half-assembled furniture, a beeping appliance. A QR code next to a tricky step can open a video of exactly that step, and a code on the cover can open the manual in another language or the latest revision.

Manuals stay with products for years, longer than most support websites stay the same. Dynamic codes keep the links working through redesigns and platform changes.

What to link from QR codes on product manuals

Video for the hard step

A small code beside step 7 that opens a 30-second clip of step 7.

Other languages

One code on the cover that opens the manual in the reader's language, instead of shipping 20 languages in print.

Spare parts and accessories

A code on the parts list that opens the spare-parts shop for that model.

Support and troubleshooting

Fault codes and fixes on a page you update as support learns, linked from the troubleshooting section.

Which QR code to use

Static codes are free and need no account, but can't be changed after printing. Dynamic codes and hosted pages can be edited at any time, count every scan, and keep working on every plan, even if you cancel.

Dynamic link to support

Points at the current support site or help centre, whatever platform you use next year.

How big to print it

Minimum printed QR code size by scanning distance
Where people scanDistanceMinimum code width
Quick-start sheet in the hand30 cm (12 in)3.5 cm (1.4 in)
Manual open on a table40 cm (16 in)4.6 cm (1.8 in)

For a dynamic short link such as https://qrdx.dev/q/aB3dE5f at error correction Q, without the blank margin. Static Wi-Fi, vCard or long URL codes hold more data and need to be larger. Check yours with the print size calculator and the scan checker.

Placement tips

  • Put the code next to the step it explains, not on a 'resources' page at the end.
  • Manuals are often printed in one colour on thin paper. Black codes at about 3.5 cm survive that well.
  • Add the URL as text for readers who can't scan, especially in safety-related sections.
  • Some products have legal requirements for printed safety information; keep those in print and use codes for extra help.

Call-to-action copy

A code with a reason to scan beside it gets more scans than a bare code. Lines to print next to yours:

  • Stuck on this step? Watch it
  • Manual in your language
  • Order spare parts
  • Troubleshooting and support

QR codes on product manuals: FAQ

Can a QR code replace the printed manual?

Partly. Safety information may legally need to be in print, depending on the product and market. Codes work best for videos, translations, updates and support.

How do I keep manual links working for years?

Use dynamic codes. If your support site moves, change the destination and every printed manual keeps working.

How many QR codes should a manual have?

One on the cover for the full manual and support, plus one beside each step that has a video. Separate codes show which steps cause the most trouble.
